Activities > Manage Ownership Change

Use this page to transfer Ownership when a Unit has changed hands. The Ownership Change feature can automate transfer of the following items:


  • Open Violations

  • Open Work Orders

  • Open and/or Final Approved ARC

  • Open Balances

  • Tenants

  • Delinquency Status


To automate the transfer of the above items, some setup is required.  CLICK HERE and scroll to the Ownership Changes Section for more information.


Change Owner


Step 1. Navigate to Activities > Manage Ownership Change.


Step 2. Use the Search Filters to locate the Unit that has changed hands.  


Step 3. Click the Change Owner button corresponding to the correct Unit. 



Step 4. Complete the Account Edit window.


Overview Tab -  Account Overview Section


  • Name - Enter the New Owners legal name. 

  • Association - This field will auto populate based on the Unit selected. 

  • Account Type - Select the correct Account Type from the drop down menu.

  • File Number - Enter a file number that can be an associated with a 3rd party or internally in the uManage system

  • Managed By - Select the correct Manage By from the drop down menu.

    • Owner- The property is managed by the Owner. 

    • Internal- The property is managed by the Association. 

    • 3rd Party- The property is managed by a 3rd party management company. 

  • Include In Directory - Check if  the Owner should be included in the Directory on the  Community Portal

  • Photo - Upload a photo of the Owner, if applicable. 

  • Move-In Date - Enter the date the new Owner took possession of the property. 

  • Sales Price- Enter the Sales Price of the property.

  • Set Former Owner Bankruptcy -  Check if the Former Owner is in Bankruptcy. 

  • Set Unit Type - Select the correct Unity Type from the drop down menu. 

  • Notification Language- Select Owner preferred language for notification purposes. 


Overview Tab -  Unit Information Section


This section provides Unit details and will automatically populate from the Unit selected for the Ownership Change. Review the details before proceeding to make sure you have the correct information. 



Overview Tab -  Mailing Address Section


Complete this section if the Mailing Address is different from the Unit address. 



Overview Tab -  New Owner Document Section


Choose a document from the drop down menu to send to the new Owner, if applicable. Typically this will be a Welcome Letter, but this option can be customized to suit a variety of needs.


Overview Tab -  Alert/Statement Section - 


  • Alert- Use this field to add an Alert to the top of the Account page. 

  • Flagged- Check this box to flag the account and display the Alert in the previous field. 

  • Mobile Note- Enter a note to appear on the Mobile App.

  • Mobile Note Expiration- Check to make the note expire in the future. 

  • Expire On- Enter an expiration date for the Note if Expire on box is checked.

  • Send eStatement- Check if the account should receive Statements via email. 

NOTE- It is recommended that Statements are not emailed to Owners with unconfirmed email accounts. 

  • Confirmed Email- Check if the email has been confirmed. 

  • Email- Enter the owner’s email address. 



Overview Tab -  AR Processing Section -


  • Delinquency Type- Select the correct Delinquency status from the drop down menu. 

  • Generate Statement- Check this box if Statements will be generated for this account. 

  • Allow Auto Payment Application- Check if payments should be automatically applied per the Associations default application methods.

  • Send Coupon- Check this box if Coupons should be generated for this account. 

  • Charge 1-5 - These are custom charges that can be set up to accommodate specific needs of the Association. CLICK HERE for more information.



Overview Tab -  Account Detail Section


The items in this section are custom field labels that can be set up to fulfill the Association’s specific requirements (fields listed below are for same purposes). CLICK HERE for more information on how to set up and use custom field labels.


Overview Tab -  Contact Info Section


Use this section to add Contact Information, if different from the Owner.



Overview Tab -  GPS Coordinates Section


This section will display the GPS coordinates on a map of the community. 



Former Owner Charge/Credit Transfer Tab 


The Former Owner Charge/Credit Transfer tab lists open charges and credits that remain on the former owner's account. 


Step 1. Enter the Transaction Date for the transfer using the Calendar Tab.

Step 2. Select the Default Charge/Credit type from the drop down menu. This will be the default Type for all transactions, but can be overridden on an individual basis in the Charge Section. 


Charge Section


Step 3. In the Charge section you will see a list of all open charges on the Former Owner account. In the row for each transaction select the Charge/Credit Trans Type from the drop down menu if you need to override the default selected in Step 2.


Step 4. Select the way in which the charge will be cleared from the Former Owner account by entering an amount in the appropriate column. 


  • Reversal - Select this option to reverse the charge. This will create the appropriate GL entries. 


  • Write-Off - Enter the amount to write-off and select the correct write-off GL account from the drop down menu.


  • Transfer to New Owner - Enter the amount of the existing charge to transfer to the new owner.  



NOTE- If the entire charge is being transferred to the new account, you can click the icon on the far right to auto-fill with the full amount. 



Credit Section


NOTE- To set up a default Trans Type you will need to use the Manage Firm Trans Type page.

Use the Credit section to manage any open Credits. 

 

Step 5. Select the Charge Trans Type from the drop down menu. 


Step 6.  Select the Credit Trans Type from the drop down menu. 


Step 7.  Enter the Amount to transfer in the New Owner Amount column. 


NOTE- If the entire credit is being transferred to the new account, you can click the icon on the far right to auto-fill with the full amount. 


Step 8. When all Charges and Credits have been entered, click the Save button to finalize.This will create the New Owner account, change the ownership type of the previous owner to Former, and update ledgers of both prior and new owners.
