Use this page to create and manage Eblast communications.



uManage eBlasts allow emails to be sent across multiple Associations for example, an eBlast can be sent to all board members of all communities or all ARC members in a subset of communities. eBlasts are sent via email, but the system will also produce letters for mailing if no email address is available. 


eBlasts are created via a two step process:


  • Create the content of the eBlast and define the ways in which the message will be sent/received


  • Select the recipients of the message 


Creating a New eBlast


Step 1. Navigate to Activities > Communication > eBlasts > Manage eBlasts.



Step 2. Select Add eBlast from the Page Actions menu. 



Step 3. Complete the fields below. 


  • Deliver Via - Use this field to select the method of delivery for the eBlast. 


  • Email Only - Sends the eBlast to recipients that have an email on file.  For eBlasts, the email is the Email, Email2, Spouse Email, and Spouse Email2 fields on the account contact.

  • SMS Only - Sends the eBlast to recipients that have a mobile phone number and provider. 

  • NOTE- SMS eBlasts are sent using the phone carrier's SMS email address which may or may not support longer MMS messages.  For best results, limit SMS eBlasts to 160 characters.

  • Email and SMS - Sends the eBlast to both the contact's email and SMS addresses.

  • Mailing Address Only - Generates a PDF containing the eBlast addressed to each recipient's mailing address.  This PDF can then be printed and mailed.

  • Unit Address Only - Generates a PDF containing the eBlast addressed to each recipient's unit address.  This PDF can then be printed and mailed.

  • Email or SMS - Sends the eBlast to the recipient's email if it exists, otherwise, the eBlast is sent via SMS.

  • Email or Mailing Address - Sends the eBlast to the recipient's email if it exists, otherwise, a PDF is generated for each contact's mailing address.

  • Email or Unit Address - Sends the eBlast to the recipient's email if it exists, otherwise, a PDF is generated for each contact's unit address.

  • Email or Both Mailing and Unit Address - Sends the eBlast to the recipient's email if it exists, otherwise, a PDF is generated for each contact's mailing address and unit address.  Note that if the mailing address and unit address are the same only one letter will be generated.



  • Association - Select the correct Association(s) or Association Group from the drop down menu. 


  • From - Enter the name you want to show up as the Sender on the email. 


  • Reply To - Enter the email address you want recipients to reply to, if necessary. 


  • Subject - Enter the Subject of the email.


  • Template - Select a template from the dropdown menu, if applicable. CLICK HERE for more information on how to create a template. 


  • Address-PDF-Preview -  Generates a pdf of the mailed version of the eBlast.  This link shows for particular Deliver Via's that support sending a letter including Mailing Address Only, Unit Address Only, Email or Mailing Address, Email or Unit Address, and Email or Both Mailing and Unit Address.  Note, the PDF will only be generated if there are contacts matching the 'or' portion of the Deliver Via, for example, there is at least one contact without an email address and the Deliver Via is set to Email or Mailing Address.  Otherwise, you will see a message saying that no contacts exist.


  • Body -  Enter the content of the message


  • File Attachment - Field in which to add additional outside attachments. (Multiple documents can be added at one time)


Step 4.  Click the Save Add to apply these new changes.




Selecting eBlast Recipients


Step 1. Select the corresponding eBlast you would like to add recipients to and click Edit under the recipient's column.


Step 2. Use the filters below to select recipients for the eBlast. 


NOTE- If multiple associations are receiving the same eBlast, select All Recipients to include all the accounts within the corresponding areas.


  • Sections- Use this filter to select recipients by the Association Section.


  • Contains- Enter all or part of describing information to select recipients by that custom criteria.


  • Building/Floor/Tier - Select recipients by Building, Floor or Tier.


  • Ownership - Select Former or Current Owners. 


  • Address Type - This option filters by the various different owner types.


    


  • Primary - Select whether the eBlast will be sent to the primary owner or elsewhere.


  • Occupant - This option delineates if the eBlast is sent to the occupant.


  • Portal Registration - This option filters if the account has a registered portal account.


  • Election - This filter is for the various elections currently active in the association.


  • Vote Status - This filter allows you to select Owners that have or have not yet voted in an election.


NOTE- To use this filter you must select an election in the Election filter. 


  • ARC/Board Members - This filter is to search for ARC/ Board members.


The following options allow you to set parameters based on the Owner’s email preferences. From the options below, select the type of recipients from the drop down menu.


  • Newsletters 

  • Statements

  • Violation

  • Other


Step 3. Click the Save button to finalize your recipient selections.




Creating an eBlast Group


Step 1. Select Groups from the Page Action drop down menu.



Step 2. Select Add Group from the Page Action drop down menu.



Step 3. Select the Association from the drop down menu and create a Title for the Group.



Step 4.  From the Manage eBlast Group page (Step 1 above) click the hyperlink in the Recipients column to add recipients to the new Group. 



Step 5. Select Add Recipients from the Page Action Menu.



Step 6.  Select the Recipient option by clicking the radio button. 

Account Recipient- This option allows you to select accounts from a dropdown menu of all accounts for a specific Association. 



Email Recipient- This option allows you to enter a name and email address for the recipient. 

Association Group Recipient- This option allows you to select created Groups such as the Board or committee members. 


Step 7. Click the Save Add button to create the new Group.


 

Sending eBlast


Step 1. Return to the Manage eBlast page. Activities > Communication > eBlasts > Manage eBlasts 


Step 2.  Use Search filters to locate the eBlast you are ready to Send.


Step 3. Click the corresponding Send hyperlink to open the Send eBlast window. 



Step 4. Complete the fields below. 


  • Id- This field will automatically fill.

  • From- This field will automatically fill.

  • Subject- This field will automatically fill.

  • Recipients- Click this hyperlink to review or edit recipients before sending. 

  • Email Status- This field is used to select when the email will be sent. 

  • Draft - Leave it in the draft format to be edited again

  • Send Now - Select this radio button and then click the Send Now button to send immediately. 

  • Scheduled - Allows for a date to be selected as the current/future date this eBlast will process. 


Step 5. Click the Save button to finalize sending choices.


NOTE- If Send Now was selected above you will skip this step. 




Edit an eBlast


Step 1. Navigate to Activities > Communication > eBlasts > Manage eBlasts


Step 2.  Use the Search Fields to locate the eBlast you want to edit. 


Step 3. Click the Pencil icon to open the record. 



Step 4. Make any necessary changes and click the Save button when done. 




Delete an eBlast


Step 1. Navigate to Activities > Communication > eBlasts > Manage eBlasts


Step 2.  Use the Search Fields to locate the eBlast you want to delete. 


Step 3. Click the icon to delete the eBlast.




Copy an eBlast


NOTE- This option will copy a previously saved eBlast but recipients will still have to be established. 


Step 1. Navigate to Activities > Communication > eBlasts > Manage eBlasts


Step 2.  Use the Search Fields to locate the eBlast you want to copy. 


Step 3. Click the Copy hyperlink icon.
