The Activity View page lists the various actions that are not already in process and can be used to initiate the document creation process for batches of actions.  Use the Activity View page to view and manage the following activities on selected activities (activities supported on this page include violations, architecturals, delinquencies and custom letters):

  1. Change the next action (document) to be produced
  2. Initiate document production
  3. Set hearing date on multiple violations
  4. Update the mobile note field on multiple violations
  5. Add a note to multiple activities
  6. Change the A/R type on multiple accounts


To Access Activity View:

1. Select Process > Select Activity View >

2. Select the corresponding activity information and search for activities > 


 

Use the page filters to display the search results in the grid:

  • Association - Lists the name of the association.
  • Id - Lists the unique Id of the activity type (for example, the violation id)
  • FileNo - Firm file no associated with the account>
  • Account Name - The name of the uManage account
  • Unit Address - The unit (property) address of the uManage account
  • Balance - The current balance of the uManage account.  This field is only used when utilizing uManage Accounting functionality.
  • Activity Type - Lists the activity type.
  • Description - This is only used for violations and displays the violation description.
  • Note - Displays the notes on the associated activity type
  • Location - This is only used for violations and displays the violation location.
  • Last Action - Lists the last finalized action and the date it was finalized.
  • Next Action - Lists the next action and the date it is due (the next action date).
  • Change - Click this link to change the specified next action and next action date.

Only activities that can be created (generated) are displayed in the grid.  If the activity is already in the document production process it will display on the Manage Generated, Manage Printed, or Manage Batch page instead of the Activity View page.

 

Change the next action (document) to be produced

  1. Use the page filters to search for the document(s) to produce.  Use the Activity Type filter to limit the results to a specific activity type.
  2. Check the box for the activities to change.  Click the box in the column header to select/de-select all on the page.


 


3.Change link in the column header and set the following fields:. Proposed Next Action - select the next action to be produced.



4. Proposed Date - select the next action date..Reason - enter a reason for the change.  This is saved in a note as documentation for the change.

5.Click the Save button to apply the change to the selected activities.

 

Initiate document production (process one or more actions)

  1. Use the page filters to search for the document(s) to produce.
  2. Check the box for the activities to produce.  Click the box in the column header to select/de-select all on the page.
  3. Click the Process Actions button to process the selected actions.  If the action is to produce a document, then the document is added to the process queue and will display on the Manage Generated page when complete.  If the action does not produce a document, then the action is processed immediately.


 

Set the hearing date on multiple violations

  1. Use the page filters to search for the document(s) to produce.
  2. Check the box for the activities to produce.  Click the box in the column header to select/de-select all on the page. Click the Mass Change button to display the mass change page.



3. Click the Hearing Date button to the left and enter the new hearing date fields:

  • Request Hearing
  • Hearing Date
  • Hearing Time
  • Hearing Location



4. Click Save to save these values on the selected violations.


Update the mobile note field on multiple violations

  1. Use the page filters to search for the document(s) to produce.
  2. Check the box for the activities to produce.  Click the box in the column header to select/de-select all on the page..Click the Mass Change button to display the mass change page.
  3. Click the Mobile Note button to the left and enter the new mobile note fields:



  • Type - Select Append to add the note to the existing note or Overwrite to replace any existing note with the new note.
  • Note - Enter the note to be added.
  • Expires on - Enter the note expiration, if applicable.

4. Click Save to Save to note to the selected violations. 

 

Add a note to multiple activities

These notes will be added to the Notes tab on the selected activities.

  1. Use the page filters to search for the document(s) to produce.
  2. Check the box for the activities to produce.  Click the box in the column header to select/de-select all on the page..Click the Mass Change button to display the mass change page.
  3. Click the Notebutton to the left and enter the new note fields:
    • Type - Select the note type from the drop down.
    • Note Date - Specify the note date.
    • Hours - Enter the hours if applicable.  Hours are used to track time across the firm.
    • Note - Enter the text for the note.



4. Click Save to save to note to the selected activities. 


Change the A/R type on multiple accounts

  1. Use the page filters to search for the document(s) to produce.
  2. Check the box for the activities to produce.  Click the box in the column header to select/de-select all on the page. Click the Mass Change button to display the mass change page.
  3. Click the A/R Typebutton to the left and enter the new A/R type fields:
    • A/R Type - Select the A/R Type from the drop down.



4. Click Save to save to A/R type to the selected accounts.
