Use this page to set up Delinquency Rules to move past due accounts into a Delinquency status.
Delinquency Rules are used to automate the initial status change of Owner Accounts from current to a Delinquent status. For example; If an Association’s documents state that assessments are past due after 15 days, a Delinquency rule can be created to automate that step. Delinquency Rules can be customized to recognize only certain charge types (Transaction Types) and balance.
NOTE- Before setting up Delinquency Rules, you must first set up Transaction Types.
Transaction Types- These are the Types of charges that may appear on an Owner Account such as; Assessments, Late Fees, Fines, etc… Trans Types can be used to customize the Delinquency to limit the rule to specific charges only. For example: If you only want to proceed with collections on accounts that owe Assessments, you can create a Delinquency Rule that only applies to Assessment Trans Type. Add Delinquency Rule
Step 1. Navigate to Accounting > Delinquency > Delinquency Setup > Manage Delinquency Rule
Step 2. Click on the Add Delinquency Rule button
Step 3. Complete the fields in the Delinquency Rule window.
Overview Tab-Overview Section
Title - Enter a name for the Delinquency Rule.
Delay Days - The delay days indicates the number of days a charge must be past due before it is considered delinquent. For example, a value of 15 means a charge entered on the 1st of the month will not be delinquent until the 15th of the month. Delay Days are calculated from the Transaction Date of the Charge.
Min Amount - Specifies the minimum dollar amount for an account to be considered delinquent. Accounts with an open balance below this amount will not be included in delinquency processing.
AutoClose - Check this box and enter a dollar amount to enable the Account to automatically be closed (removed from Delinquency status) when a payment is made. If this box is not checked, delinquencies must be closed manually using the Manage Delinquencies page or on the owner's account.
NOTE- When checked, an owner payment will automatically close the delinquency if the payment brings the account's past due balance (not the account balance) below the specified amount. For example, a value of $0 means the account must have a zero past due balance (or less) before it will be automatically closed, and a value of $30 means the account must have an open past due balance of less than $30 for the delinquency to automatically close.
Association - Select all Associations to which this rule applies, from the drop down menu, or check the Apply to All Associations box, if the rule applies to all.
AR Type - Select all AR Types to which this rule applies, from the drop down menu, or check the Apply to All AR Types box, if the rule applies to all.
Overview Tab-Trans Type Section
This section is used to override the default delay days on the Delinquency Rule. This section is optional. Click the Add TransType hyperlink for the following fields:
Trans Type - Select the trans type that has different delay days.
Num Delay Days - Enter the delay days to be used for the specified trans type.
Exclude - Check this box to exclude this particular trans type from the delinquency past due amount calculation.
Step 4. Click the Save button when completed.
