Use this page to create and manage Pass Types.


Passes are used by Associations to allow access to community facilities, such as gates, pools, clubhouse etc… Pass Types are created at the Firm level and are available to all Associations. 


Add a New Pass Type


Step 1. Navigate to Activities > Passes > Setup > Manage Firm Pass Types.


Step 2. Select Add Type from the Page Actions drop down menu. 



Step 3. Complete the Firm Pass Type Window. 


Firm Pass Type Window - General Section


  • Title- Enter a Title for the Pass Type. 

  • Print Using- Select the printing method for the Pass. 

    • Template - This option allows uManage to generate a pass from a Word template, which is uploaded to the File Name field below.

    • Existing - Select this option if you have existing, pre-printed, passes to assign as needed. For Example, if you have a stack of laminated, 2x4 barcoded passes to give out to owners as they request the pass.

  • File Name- If Template is selected in the Print Using field, you will then be able to upload the template in this field. 

  • QR Scan Code- This is a security measure to prevent unauthorized access to pass details. When the QR data is scanned, details are not available unless the QR scan code is entered. For Example; When a Parking Pass is issued it may be visible on a car dashboard to all passers by, however only the parking attendant can access pass details.

  • Expiration- Select an option for Expiration of the Pass.

    • Never Expire - Select this option for passes that never expire.

    • End Date - Select this option to enter an End Date for the pass to expire. 

    • NOTE- Selecting this option will display an additional End Date field.

    • Time - Select this option to expire the pass by X number of hours, days, weeks, months or years after the pass is created.

    • NOTE- Selecting this option displays a numeric Time field and a Time Type dropdown. 

    • Uses - Select this option to expire the pass after a set number of uses. 

    • NOTE- Selecting this option will display a number of uses field. Enter the number of times the pass can be used before expiring. 

  • Track Guest Punches- Check this box if Guest Punches will be used for this Pass Type. See the Firm Pass Type Window - Firm Pass Type Section below for more information.


Firm Pass Type Window - Firm Pass Type Section


This section applies only when the Track Guest Punches option is enabled.  A guest punch tracks the number of times the pass is used with a guest. The remaining guest visits is displayed on the check-in screen and can be replenished on the Manage Passes page based on the following settings:

  • Default Guest Punches- Enter the default number of Guest Punches for the Pass Type. This is used as the default value when a new pass is created. For Example, a value of 10 will automatically set new passes with 10 initial guest punches.

  • Show Replenish Button- Check this box to allow the guest punches to be replenished when viewing the pass on the Manage Passes page. This allows the user to add additional punches to an existing pass.     

  • Replenish Guest Punches- Enter the default number of Guest Punches per replenishment.

  • Notifications- Check boxes for those Users who need to be notified when Passes are added or Updated. 

Step 4. Click the Save button to finalize, or the Save Add button to add more Pass Types.
