Association > Manage Associations - A/R Tab
Use this Tab to establish default settings for Accounts Receivable.
Overview Section
Late Fee Percent- Enter the correct Annual late fee percentage, per your Governing Documents.
Delinquency CCR Section- Enter the portion of your Governing Documents that details the Association’s delinquency rules.
Graph Receipts in Expense Analyzer- Check this box to include receipts in Activities > Expense Analyzer. CLICK HERE for more information.
Statement Section
Force eStatements- Click this box to allow Statements to be emailed to unverified email addresses.
NOTE- When an Owner enters their email address via the Portal, the system sends a verification email to confirm accuracy. It is recommended that Statements and other important documents are only sent to verified email addresses.
Assessment Frequency- Select the Assessments frequency based on the Governing Documents for the Association from the dropdown menu.
Statement Frequency- Select the Statement frequency based on the Governing Documents for the Association from the dropdown menu.
Statement Past Due Days- Enter the number of days that must elapse before an assessment is considered Past Due, per the Governing Documents.
Statement Message- Enter a message to be included on Statements, if needed.
Fulfillment Options Section
This section is used to set defaults when a third party mailing company is used.
NOTE- Default settings can be overridden when letters are created.
NOTE- Additional Services will increase the cost of mailing and available options may vary by provider.
Enabled- Check this box to enable a third party fulfillment company.
Include Cover Sheet- Check this box if a cover sheet is to be used. This is helpful when there isn't room on the letter for the mailing address to properly display in the window envelope.
Duplex- Check this option if you want the letter to print on the front and back of the paper.
Outer Envelope Message- Choose whether a message should appear on the outer envelope when mailing Statements.
Certified Mail Type- Select the type of Certified mail from the drop down menu.
Ink- Select the ink color.
Paper- Select the paper color.
Return Envelope- Select if a return envelope to remit payment should be included in the mailing.
Ledger Number Section
You can create additional Owner ledgers to track and bill specific types of charges. Additional ledgers appear below the main ledger on the Transaction Tab of the Owner account page.
Name- Enter the name for the Ledger.
Number- Enter a reference number for the Ledger.
Enabled- Check this box to enable the Ledger.
Show on Portal- Check this box to make the Ledger visible on the Association Portal.
Delinquency Charges Section
Use this section to create a schedule of Delinquency flat charges or interest charges.
Delinquency Action Days Section
Use this section to create a schedule for processing Delinquency steps.
Action Amount Section
Use this section to create a schedule of fees related to various Delinquency stages.
