Learn how to add and edit Facilities and Resources on the Portal. 



Facilities and Resources are shared amenities in a community that may be rented or utilized by members of the community. Facilities are defined as the amenity in the community, such as a Clubhouse, Park or Tennis Courts. A Resource is an area within the amenity such as, Meeting Room or Kitchen, or Tennis Court 1 and 2, or Firepit or Pavilion. Facilities should be created first and the Resources created within a Facility. 


 Add a New Facility


Step 1. Sign in to the portal using a login with Administrative access.


Step 2. Click the Reservation Tab on the left side of the page. 

 


Step 3. Click the Facility button. 



Step 4. Click the Add Facility button.


Step 5. Complete the Facility window.


Main Tab 


  • Association- Select the correct Association from the drop down menu. 


  • Title- Enter a Title for the Facility.


  • Time Step- This field defines the length of time for each period on the daily calendar.


  • Show times in 24 hr or AM/PM-  This determines how times are shown on the calendar. 


  • Description- Enter a description for the facility.


  • Terms of Reservation- Enter requirements for reserving the facility, such as cost, clean up, max # of people etc…


  • Image- Upload an image of the facility, if applicable.


  • Maximum number of User Reservations per day-This section defines how many times the Owner may reserve a Resource in a Day.


  • Maximum number of User Reservations per week- This section defines how many times the Owner may reserve a Resource in a Week.


  • Maximum number of User Reservations per month-This section defines how many times the Owner may reserve a Resource in a Month



Approvers Tab


Select the Users authorized to approve Reservations. Highlight the name in the Available Groups and Members box and use the left facing arrow to move it to the Approvers window. 



Notification Tab


Enter email addresses for people who need to be notified about the Reservation.


Step 6.  Click the Save button to finalize.




Add a Resource


Step 1. Sign in to the portal using a login with Administrative access. 


Step 2. Click the Reservation Tab on the left side of the page. 

 


Step 3. Click the Resource button.

Step 4. Click the Add Resource button. 


Step 5. Complete the Add New Resource window. 


  • Resource Name- Enter a name for the Resource.


  • Description- Enter a description of the Resource.


  • Facility- Select the Facility for this Resource from the drop down menu.


  • Location- Enter a description of the location of the Resource.


  • Deposit Required- Enter the amount of the required deposit.


  • Fee Required- Enter the amount of the fee for this resource, if applicable.


  • Need an Approval- Check this box if approval is required to reserve this Resource.


  • Require Terms- Checking this box will require a Resident to agree to Terms before submitting a request.


  • Allow Recurrence- Check if this reservation may be created on a recurring basis.


  • Require File Upload- Check if a Form is required to complete the Reservation request. 


  • Reservation Form- Upload a Reservation Form, if applicable. 


  • Min. Reservation Hours- Enter the number of hours required to reserve the Resource. 


  • Max Reservation Hours- Enter the maximum number of hours the Resource may be reserved.


  • Reservation Window- This field limits how far in advance a reservation can be requested. 


  • Max number of user reservations per day- This section defines how many times the Owner may reserve a Resource in a Day.


  • Max number of user reservations per week- This section defines how many times the Owner may reserve a Resource in a Week.


  • Max number of user reservations per month- This section defines how many times the Owner may reserve a Resource in a Month.



Step 6.  Click the Save button to finalize.
