Use this Tab to view, edit or set up Association data for Architectural Plan requests.
Misc. Section
Instruction Text- Enter instructions to appear on the Community Portal when an Owner initiates a new ARC request.
Submit Text- Enter important information the Owner needs prior to submitting their ARC request. This information will appear in a pop up confirmation window prior to final submission.
Disclaimer Text- Enter a Disclaimer, if needed. This information will appear on the Community Portal when an Owner initiates a new ARC request.
ARC Initials- Enter the initials of the ARC Committee member you want to appear on communications to the Owner, if needed. This field is available as a merge field
ARC Name- Enter the name of the ARC Committee member you want to appear on communications to the Owner, if needed. This field is available as a merge field
Committee Meeting Section - Use this section to create default meeting dates and times.
NOTE- These dates and times can be overridden.

Preferences Section
The preferences in this section enable the automation of various stages of the Architectural request process. By setting these preferences, the management company can guarantee that the ARC is approved in a timely manner.
Default Manager Resolution Days- Enter the number of days before the system will automatically resolve the manager portion of the ARC request.
Enable Auto Manager Resolution- Check to enable the system to automatically resolve the manager portion of the ARC request.
Default Manager Action- Select the correct Action to take, if the automatic manager resolution is triggered.
Account Radius ft.- Use this setting when state laws, or governing documents require neighboring properties to be notified when work is being performed.
NOTE- This setting works in conjunction with the Map feature, indicating which homes will need to receive notifications.
Enable ARC Hold Processing- This option allows a committee member to place the ARC request in a Hold status.
Enable ARC Project Manager- This field allows a Project Manager to be established by project type, for example someone can be assigned to all construction projects, and another to landscaping.
Default Final Resolution Days- Enter the number of days for the ARC to automatically reach final resolution. This option is available to make sure the ARC is approved within a required time frame.
Enable Auto Final Resolution- Check this box to enable the system to automatically finalize an ARC request.
Default Final Action- Select the correct Action to take, if the automatic final resolution is triggered.
Committee Document Permission- Check Add, or Delete, as needed to allow ARC committee members to add or delete documents.
Disclosure Property Lines- This is an enhanced feature that allows for greater customization of Property Lines for disclosure purposes. Please contact our office for assistance in using this feature.
Notification Section
Use this section to set up notifications for each step of the ARC approval process. For each step below, choose the users who should receive notification by checking the appropriate box.
ARC plan submitted
ARC plan has been sent to the Committee.
Committee notes added to ARC plan.
Committee member votes on ARC plan.
ARC Plan final Resolution
X Days before Decision Date 1
X Days before Decision Date 2
ARC Final Resolution Finalized.
ARC Plan Hold On/Off.
ARC Plan Discussion Added/Updated
ARC Additional Documents Added- This option is used to track requests for Additional Documentation.
ARC Committee Section
Use this section to add, edit or delete ARC Committee members.
Delete a Committee Member
Click the Trash icon to delete the committee member you need to remove.
Edit a Committee Member
Step 1. Click the Book icon to edit the Committee Member details.
Step 2. Edit information in the Association Group window as needed.
NOTE- See Add a Committee Member below for a detailed description of the fields.
Step 3. Click the Save button to finalize your changes.
Add A Committee Member
Step 1. Click the Plus icon.
Step 2. Complete the fields in the Group Member window.
Group- This field will Auto-fill.
Association- This field will Auto-fill.
Contact- This field will open the Choose Contact window.
Step 1. Use the scroll bar or the Search option to locate the correct Owner.
Step 2. Click the Select button to add the Owner to the Committee.
Step 3. Enter information in the Association Group window.
Group- This field will default.
Association- This field will default.
Contact- This field will default.
Note- Enter a note for this Committee Member, if needed.
Chairman- Check this box if the Committee Member is the Chairman.
Enable Invoice Approval- Check this box if the Committee Member has the ability to approve invoices.
Invoice Approval- If the above box is checked, use the drop down menu to select the Approver level.
Step 4. Click the Save button to add your new Committee Member.
ARC Plan Documents Section
Use this section to view, edit, delete or add new documents related to ARC Plan processing.
Delete a Document
Click the Trash icon to delete the corresponding document.
View a Document
Click the hyperlink for the document to open it.
Edit a Document
Step 1. Click the Pencil icon to open the record.
Step 2. Edit the ARC Plan Document window, as needed.
NOTE- See Add a Document below for a more detailed explanation for the fields in this window.
Step 3. Click the Save button to finalize your changes.
Add a Document
Step 1. Click the Plus icon.
Step 2. Enter information in the ARC Plan Document window.
Title- Enter a Title for the document.
Required- Check this box if the uploaded document is required to be included in ARC requests. Required documents are available for download from the Portal and marked as Required when an ARC request is submitted.
File Name- click the Select button to upload the document from your computer. The File Name will auto-fill from the name of the document.
Step 3. Click the Save button to upload the document.
