Dashboard > Account Search - Passes Tab


Use this Tab to view and edit Passes issued to the Owner. 



Passes are used by Associations to allow access to community amenities, such as gates, pools, and clubhouses. Passes can be issued on a one-time basis, can be used until canceled or expired, or can be used a set  number of times (called punches). This Tab lists all passes associated with the Account selected and allows the User to view details, add, edit or delete passes and, to print a paper copy, if needed. 


Add a Pass


Step 1. Locate the Owner Account you need to work with using the Account Search feature on the Dashboard, or via Activities > Find Account


Step 2. Click the Passes Tab. 


Step 3. Click the Add Pass hyperlink. 

Step 4.  Complete the Account Pass window. 


Account Information Section


This section includes details of the Account associated with this pass. This information will automatically populate.

General Section


Name- Enter the name of the person who will use the pass. 

Firm Pass Type- Select the correct Pass Type from the drop down menu. 

Pass Status- Select the Pass Status from the drop down menu.


Category- Select the correct Category from the drop down menu. 



  • Note- Enter any relevant information related to the Pass. 

  • Pass Method- Select New or Existing by clicking the correct radio button. 

  • Expiration- Select the Expiration method by clicking the correct radio button. 

    • Use Firm Pass Type Settings- Select this option if expiration is linked to the Pass Type, for example a Pool Pass Type may be set up to expire at the end of the season. 

    • Never Expire- Select this option if the Pass never expires. 

    • End Date- Select if the Pass expires on a specific date.

    • Time- Select if the Pass expires at a specific time.

    • Num Uses- Select if the Pass expires after a set number of uses (punches). 

  • AltPassNum- Enter a number for the Pass.

  • Remaining Guest Punches- Use this to manage the available number of guest “punches” the owner has left. 

  • File Name- Use this field to upload associated documents, if needed.

  • Form Fields- This field is used to create a customized form that is completed when a Pass is issued. 


Step 5. Click the Save button to finalize.




Print a Pass


Step 1. From the Passes Tab on the Owner Account, check the box for the Pass you need to print. 



Step 2. Click the Print Pass hyperlink to download a printable PDF of the pass. 

Step 3. Click the PDF link to open and print it.



Edit a Pass


To edit a Pass, click the Pencil icon on the left. 




Delete a Pass


Delete a Pass by clicking the Trash icon on the left.
