Understanding the "Human Invoice Review" Feature

In this article, we explain how the "Human Invoice Review" feature in our system offers flexibility in processing invoices sent via email. Below, we’ll cover how the feature works and how to manage it effectively.


Overview

When you send an invoice via email to ...@eunifypayables.net, the system handles it based on the settings you’ve chosen in the Firm > Manage Firm > Preferences > AP section.



How It Works


1. With "Human Invoice Review" Enabled

If the "Human Invoice Review" option is enabled, all invoices sent to the designated email address will first appear on the Activities> Manage Batch Invoice page.

  • Action Required: A user must manually fill out the necessary fields for each invoice.
  • Verification: Once all information is confirmed to be correct, the user approves the invoice. (Note: "Approval" in this context means confirming that the information added to the invoice is accurate, allowing the system to proceed to the next step, not authorizing payment.)
  • Next Steps: The system will then create the invoice, making it available for further actions such as approval and posting within the system.

This setting is useful when you want to ensure that all invoice details are accurate before they are officially entered into the system.


2. With "Human Invoice Review" Disabled

If the "Human Invoice Review" option is unchecked and the invoice is received from an email address listed in the vendor records:

  • Direct Processing: The invoice will be directly added to the system.
  • Availability: It will then be available on the Activities> Manage Vendor Invoice page.

Even with automatic processing, users should review the invoice and make any necessary changes if needed.
